Online Reservation Process

  1. Reservation through the booking system is carried out as follows:
    1. The Customer is given the option to choose from the offered Packages and standard overnight stays presented in the booking panel.
    2. After reviewing the content and price of the Package, the Customer may select the date for the chosen room and additional options or stay package.
    3. After selecting the Offer, the Customer proceeds to the next step – a form in which they enter their personal data and any comments regarding the reservation.
    4. After completing the data, the Customer may pay a deposit using one of the selected methods:
      • DotPay online payment.
      • standard bank transfer
    5. When one of the first two options is selected, the Customer is redirected to a page enabling payment of the Deposit through the Dotpay payment system. Data authorization takes place by connecting to the Dotpay system using an encrypted 128-bit protocol. After the payment is accepted by the Dotpay system, the Customer is automatically notified by e-mail about the confirmation of payment and reservation – the e-mail will contain: customer data, hotel name, offer description, total price of the stay, deposit paid and the amount remaining to be paid at the hotel. The remaining amount for the purchased stay is paid by the Customer at the Hotel. The Reservation Confirmation e-mail should be presented at the reception as the basis for the deposit payment and settlement of the remaining amount.
    6. If the Customer selects the third option (pay by bank transfer or pay later), the Customer receives an e-mail confirming the Preliminary Reservation, which will be confirmed AFTER the deposit is paid. The deposit may be paid by standard bank transfer or online system. The reservation is held as Preliminary for 48 hours from the time of booking and may be cancelled if the deposit is not received within that time. After the deposit is paid, the Customer will receive an e-mail confirming the reservation, which should be presented at the hotel reception for full settlement.
    7. Reservations on Request. If no room is available online, the Customer may be offered a room On Request. After completing the form, the Customer will receive an e-mail confirming the availability of the date or lack thereof, as well as information on how to pay the deposit. The Customer may pay the deposit by credit card, electronic bank transfer or standard bank transfer. The reservation will be confirmed upon payment of the deposit. After the deposit is paid, the Customer will receive an e-mail confirming the reservation, which should be presented at the hotel reception for full settlement.
  2. Fees and Reservation Cancellation
    1. The Customer pays the calculated Deposit using one of the three methods available in the system, and pays the remaining amount upon arrival at the Hotel.
    2. The Customer does not incur any costs resulting from the Reservation transaction.
    3. In the event of cancellation of the Reservation no later than 5 days before the start date of the stay, cancellation is free of charge. The Hotel is obliged to refund the full amount of the deposit within 21 days.
    4. In the event of cancellation less than 5 days before the arrival date, the deposit remains with the Hotel. Cancellation within this period results in the loss of the full amount of the Deposit paid.
  3. Final Provisions
    1. The Customer is responsible for correctly completing the data in the booking form. The Hotel is not responsible for an incorrect selection of the arrival or departure date or for incorrectly completed data by the Customer.
    2. The Dotpay.pl electronic payment system is responsible for the proper handling of reservation payments.
    3. The Hotel and the company operating the online booking service are not responsible for system unavailability caused through no fault of their own or by other independent factors.
    4. Due to upcoming tax changes, we kindly ask you to inform us at the reservation stage if you require the stay to be settled on a company invoice. If we do not receive such information, payments will be recorded for private individuals, with no possibility of making changes later.
  4. Personal Data
    1. When making a Reservation in the Hotel booking panel, the Customer consents to the inclusion of their personal data in the service database. These data will be used to enable the full Reservation process and for marketing purposes in accordance with the provisions of the agreement of 27 April 2016 on personal data protection.
    2. In accordance with the obligations arising from the personal data protection regulation of 27 April 2016 (Official Journal of the EU L 119 of 04.05.2016), the Hotel is the controller of the Customer’s personal data.
    3. The recipients of the Customer’s personal data will only be entities authorized to obtain personal data under legal provisions, entities participating in the provision of services – including the operator of the HotelSystems.pl booking system: american.pl Tomasz Długopolski, ul. Szrenicka 46, 58-560 Jelenia Góra, NIP: 613-102-96-97.
    4. The Hotel and data processing entities undertake to keep confidential all information and personal data obtained for the purpose of providing the Reservation Service.
    5. The Customer has the right to request from the controller access to personal data, the right to rectify, erase or restrict processing, and the right to data portability.
    6. Providing personal data is voluntary, but necessary for the performance of the Reservation Service.
  5. Acceptance of the Regulations Selecting the option “I have read the Regulations” means that the Customer understands and agrees to the conditions contained therein. Failure to accept the Regulations will make it impossible to make a Reservation.

PRIVACY POLICY


  1. This Privacy Policy sets out the rules for processing and protecting personal data provided by users in connection with their use of services offered by the website service (hereinafter: the Service).
  2. In order to ensure the security of entrusted personal data, the Administrator acts on the basis of internal procedures and recommendations compliant with relevant legal acts concerning personal data protection, in particular Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016.
  3. The Administrator exercises particular care to protect the interests of data subjects and, in particular, ensures that personal data are:
    1. processed lawfully;
    2. collected for specified, lawful purposes and not further processed in a manner incompatible with those purposes;
    3. factually correct and adequate in relation to the purposes for which they are processed;
    4. stored in a form enabling identification of the data subjects for no longer than is necessary to achieve the purpose of processing.
  4. Personal data are processed on the basis of consent given by users of the Service and in cases where applicable law authorizes the Administrator to process personal data.
  5. The Administrator processes personal data voluntarily provided by users of the Service solely for the purpose of responding to user inquiries submitted via the contact form, within the following scope:
    1. first name and surname
    2. e-mail address
    3. telephone number
  6. Personal data of users of the Service are not sold or made available to third parties and are subject to profiling, i.e. automated processing for the purpose of assessing and determining personal characteristics or needs of users.
  7. The user of the Service who provided the data has the right to access the data processed by the Administrator. The user also has the right to modify these data, request their transfer to another entity, and restrict or stop the processing of their personal data at any time. At any time, the user may also withdraw previously granted consent to the processing of their data and request the deletion of their personal data from the Service.
  8. In order to exercise the rights indicated above, the user of the Service should contact the Administrator using the same e-mail address or telephone number provided to the Service, or by contacting the property address.
  9. The Administrator obtains information about users and their behavior in the following ways:
    1. through information voluntarily entered in forms,
    2. by collecting “cookies” files
  10. During the first visit to the website, the user is informed about the use of cookies. By remaining on the website, the user accepts the use of standard cookies on the website. Failure to change browser settings by the user is equivalent to consent to the use of “cookies”.
  11. The installation of “cookies” is necessary for the proper provision of services within the Service. “Cookies” contain information necessary for the proper functioning of the website, in particular those requiring authorization. The user may change their browser settings at any time so that cookies are either accepted or rejected, or so that the user is notified when such files are placed on their computer.
  12. The following types of “cookies” are used within the Service:
    1. session cookies – they remain in the browser until it is closed or until logging out of the website on which they were placed,
    2. persistent cookies – they remain in the web browser of the device until they are deleted by the user or until a predetermined time specified in the cookie file parameters.
  13. The Service may contain links to other websites that operate independently of the Service and are not supervised by the Service in any way. Such websites may have their own privacy policies and terms and conditions, which we recommend reading carefully.
  14. The Administrator reserves the right to change the Privacy Policy of the Service, which may be caused by the development of internet technology, possible changes in personal data protection law, and the development of the Service. Users will be informed of any changes in a visible and understandable manner.
